We value your privacy. This Privacy Policy explains how MeetSuma ("MeetSuma," "the App," "we," "us," or "our") collects, uses, stores, shares, and protects your information, and how you can manage or delete your data.
MeetSuma is a meeting transcription and AI meeting summary app. You can use the App to transcribe meeting speech, view meeting records, generate AI summaries, and copy, export, or share meeting content.
By using the App, you understand and agree to the information practices described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the App.
We collect and process only the information reasonably necessary to provide, maintain, protect, and improve MeetSuma.
When you use the meeting speech transcription feature, MeetSuma requests microphone permission to receive voice content that you choose to record and to convert speech into text through system speech recognition.
MeetSuma currently mainly processes and stores the recognized text content. The App does not actively save original audio files.
Speech recognition may be supported by system speech recognition services provided by Android, iOS, or the device manufacturer. The specific processing method may depend on the operating system or device speech service.
When you create or use meeting record features, the App may store the following data locally on your device:

When you actively tap or use the AI summary feature, the App processes the current meeting transcript and optional meeting title to generate a meeting summary.
To provide the AI summary feature, we send the necessary meeting transcript and optional meeting title to our backend gateway, which calls third-party AI service providers to generate the summary.
If you do not want your meeting text to be sent to our backend or AI service providers, please do not use the AI summary feature. Local transcription and local viewing of meeting records do not require you to actively call the AI summary interface.
To complete device activation, anonymous guest sessions, service authentication, and security checks, after you agree to this Privacy Policy, we may collect and send certain device and app information, including:

MeetSuma needs microphone permission to provide meeting speech transcription.
Before recording or speech transcription begins, the App requests your permission through your device's operating system. If you deny microphone permission, meeting speech transcription may not work, but you may still use other available features that do not depend on microphone access.

The App currently uses system speech recognition and prioritizes on-device recognition where available. Speech recognition is supported by speech services provided by the operating system or device.
The App does not actively save original audio files. After transcription is completed, the App stores the recognized text, meeting title, meeting duration, and summary results in local storage. You can delete the relevant meeting record in the App, or uninstall the App to remove local data.
When you actively tap the AI summary feature, MeetSuma sends the current meeting transcript and optional meeting title to our backend gateway.
The backend gateway calls third-party AI service providers to generate the summary. The current configuration uses OpenRouter as the service provider and uses DeepSeek-related models, such as:
The data sent to AI service providers is used only to generate the meeting summary requested by you. We do not sell your meeting transcripts, meeting summaries, or meeting content. We do not use your meeting content for third-party advertising purposes. We do not use your meeting transcripts or summaries to train MeetSuma's own AI models.
Third-party AI service providers process data according to their own privacy, security, and data retention practices. We use commercially reasonable measures to select service providers that protect user data and process it only for the requested service.
If you do not want your meeting text to be sent to our backend or AI service providers, please do not use the AI summary feature. Local transcription and local viewing of meeting records do not require you to actively call the AI summary interface.
After you agree to this Privacy Policy, MeetSuma accesses our backend interfaces to complete device activation and anonymous guest login.
These interfaces are used to generate a device activation identifier and guest access token, and to support authentication for the AI summary service.
MeetSuma currently does not require you to register an account or provide a phone number, email address, name, or other personal identity information to use the core features.

MeetSuma cannot control how third-party apps or recipients process the content you share. Please use export or sharing features only when you have the right to share the relevant meeting content.
We share information only when necessary to provide, operate, protect, and improve MeetSuma.

Purpose: To convert speech into text and generate meeting transcripts.
When you actively copy, export, or share meeting content through the system sharing panel, the third-party app, platform, or recipient you choose will receive the relevant content. This sharing is initiated by you, and how the third party handles the content is governed by its own rules and privacy policy.
We may disclose relevant information when required or permitted by law, platform rules, regulatory requirements, court orders, government requests, dispute resolution, security protection, or enforcement of our rights.
We do not sell, rent, or trade your personal information.
We do not share your meeting transcripts, meeting summaries, or meeting content with third parties for advertising purposes.
MeetSuma may request necessary system permissions before you use related features. For permissions that require system authorization, MeetSuma will request your consent through your device's operating system before the relevant feature is enabled. You can choose to allow or deny the request, and you can turn off or adjust permissions at any time in your device settings.
Purpose: To receive meeting speech that you choose to record and convert it into text.
MeetSuma requests microphone permission only when you use the meeting speech transcription feature. MeetSuma will not access the microphone or record audio in the background without your consent.
If you deny or turn off microphone permission, the meeting speech transcription feature may not work.
Purpose: To use system speech recognition capabilities to convert meeting speech that you choose to record into text.
On iOS and other systems that require separate authorization, MeetSuma will request your consent through the system permission prompt before using speech recognition features. You can choose to allow or deny the request, and you can turn off or adjust the permission at any time in your device settings.
On some Android devices or system environments, speech recognition may be provided by system speech services or device manufacturer speech services and may not require a separate speech recognition permission. However, it may still depend on microphone permission or system speech service settings.
If you deny or turn off speech recognition-related permissions, microphone permission, or system speech services, speech recognition or meeting transcription features may not work properly.
Purpose: For device activation, anonymous guest login, AI summary requests, Privacy Policy page loading, and service authentication.
Network access is used to support MeetSuma's online features. Network access usually does not require a separate system permission prompt in the same way as microphone or speech recognition permissions, but you can restrict or disable network access through your device settings, network settings, cellular data settings, or other system controls.
If you turn off your network connection or restrict MeetSuma's network access, device activation, anonymous guest login, AI summaries, Privacy Policy page loading, and related service authentication features may not work properly.
After network access is restricted, you may still use available local features that do not depend on network access, but features that require an internet connection will not work properly.
We retain information only for as long as necessary for the purposes described in this Privacy Policy.
Meeting titles, creation times, meeting durations, transcript text, real-time transcript text, meeting status, AI summary content, and other meeting record data are stored locally on your device by default until you delete the relevant meeting record in the App or uninstall the App.
MeetSuma currently does not actively save original audio files. The App mainly stores recognized text, meeting information, and summary results.
Privacy Policy consent status, theme settings, onboarding status, language settings, summary usage count, device activation code, access token, refresh token, and similar information are stored locally to maintain App functionality and service access. You can uninstall the App or clear App data through system settings to remove local data.
When you use device activation, anonymous guest login, or AI summary features, related request data may be processed by our backend services. We retain related data only for as long as necessary to provide the service, perform security checks, prevent abuse, troubleshoot errors, comply with legal obligations, or resolve disputes.
After a deletion request is completed, related information may remain in backups, security logs, or system records for up to 90 days before being deleted or anonymized, unless a longer retention period is required or permitted for legal, security, fraud prevention, dispute resolution, or platform compliance purposes.
MeetSuma currently does not provide user account registration or login, so account deletion does not apply.

If you contact us to request deletion of server-side data, we may verify request-related information before processing the request to protect user privacy and data security. After verification, we will delete or anonymize applicable personal information within 30 days, unless a longer retention period is required or permitted for legal, security, fraud prevention, dispute resolution, platform compliance, or legitimate operational purposes.
After deletion is completed, you may no longer be able to access the related meeting records, transcripts, summaries, preferences, or service records.

If you turn off microphone or speech recognition permissions, meeting speech transcription may not work.
MeetSuma may allow you to copy, export, or share meeting transcripts, meeting summaries, Markdown, TXT, PDF, or other meeting-related content.
When you choose to export or share content, you decide where the content is sent. MeetSuma does not control how third-party apps, platforms, services, or recipients process the content.
You should not record, transcribe, export, or share meeting content that you do not have the right to process. Before using meeting recording, transcription, summary, export, or sharing features, please make sure you have obtained any permissions or consent required by applicable law, meeting participants, or relevant organizations.
We use HTTPS to communicate with backend services and take reasonable administrative, technical, and organizational measures to protect user information.

Please note that no method of Internet transmission or local storage is completely secure. We recommend that you do not enter, record, store, or submit highly sensitive information in meeting records unless you determine that it is necessary and you have obtained the required authorization.
MeetSuma is not intended for children under 13 years of age.
We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take reasonable steps to delete that information.
